Security and Privacy Policy | Tymwise Marketing Limited

1. You own your data
Tymwise is an online booking system owned and operated by Tymwise Limited, which stores information about a company or individual (“Client”) as provided or entered by that company or individual. Tymwise will only store information that is entered by or on behalf of the Client. The data entered by the Users of a Client remains the property of the Client and Tymwise will not access, or use nor make available for use to any other person any of this information without permission of the Client other than as set out in this Policy. “Client” includes reference to all Users of the Tymwise system on behalf of or as authorised by the Client including but not limited to employees, contractors, representatives, successors and assignees of a named Client

2. You control who has access to your data
Each Client must appoint one person as the Administrator who will be deemed as having full authority to act on behalf of and bind the Client. The data entered, or imported on instruction, by the Users of a Client is stored securely in a database and is only accessible to the approved Users of the Client. The Administrator will have full control over who is invited to be a User. A user name and password is required in order to access a Client’s information in Tymwise.

It is the Clients and each individual User’s responsibility to keep their passwords safe. It is the Administrator’s responsibility to ensure that any Users that are invited to use the Client’s account have time specific written authority to view the Client’s information stored in the Tymwise account.
Tymwise’s staff and Tymwise’s partners do not have access to the User’s passwords and are therefore unable to access the Client’s account or data without receiving time specific written authority from the Administrator.

3. Tymwise monitors system usage
Tymwise has access to and may use non-identifying and aggregate usage information and transaction volumes such as number of associated Users, number of transactions and billing information for the purpose of billing and monitoring server and software performance as well as for other internal purposes of Tymwise e.g. to better understand how Clients are using Tymwise so improvements can be made to the system, and to provide prompts for Users on ways to improve their own use of the system.
All aggregated usage information is stored in a secure Tymwise data warehouse facility. Tymwise shall not access the details of any financial transaction entered and stored in the Tymwise system. Tymwise shall not access system usage history for a specific identifiable User, except where granted permission by the User to assist with resolution of a system issue or error. Each User of a Client is deemed by Tymwise to be authorised to request such assistance and give permission to Tymwise for this purpose upon being authorised as a User by the Client.

4. Your data is sent securely across the Internet
Tymwise Servers have “Fill In” issued security certificates so all data transferred between the Users of a Client and the Tymwise Servers is encrypted. However, the Internet is not in itself a secure environment. Users should only enter, or instruct the importation of, data to the database within a secure environment. This means that the User’s browser must support the encryption security used in connection with the Tymwise Servers, and the System Specs are met for minimum WINDOWS/MAC/LINUX Requirements.

5. Tymwise does not store your credit card details
If you choose to pay for Tymwise by Credit Card, your credit card details are not stored by Tymwise and cannot be accessed by Tymwise staff.
Your credit card details are encrypted and securely stored by Direct Payment Solution to enable Tymwise to automatically bill your credit card on a recurring basis.

6. Tymwise will give you access to your data at any time
On request, Tymwise will provide the Administrator with a full export of the Client’s data in a common file format determined by Tymwise. The Client is responsible for ensuring that Tymwise has a current, valid email address for the Administrator at all times. Tymwise will not be responsible for any mail transmitted to an incorrect or invalid email address that has been provided by the Client.

Tymwise will also provide a full export of Client’s data to the Administrator upon expiry or cancellation of the Client’s End Licence pursuant to the terms and conditions of that Licence (provided that the Client has paid all amounts due to Tymwise or any agent or reseller).

Tymwise will only permanently delete the Client’s data on request of the Administrator or if on expiry or cancellation the data is not returned to the Client pursuant to our End User terms and conditions.

7. You can opt-out of any email communications
Tymwise sends billing information, product information, service updates and regular customer newsletters to registered Users via email.  Where appropriate email communication will contain clear and obvious instructions describing how the User can opt to be removed from the mailing list. Tymwise will immediately remove any User upon request.

8. You are responsible for checking the privacy policy of any third-party websites we link to
The Tymwise/Tymwise website may contain links to third-party websites. Tymwise takes no responsibility for the privacy practices or content of these websites.

9. This policy may be updated from time to time
Tymwise reserves the right to change this policy at any time and any amended policy will be posted on this website.

10. Please read our Terms & Conditions of Use
Any use of the Tymwise application is subject to Tymwise’s terms of use. In the event of a conflict or disagreement between this Privacy Policy and the Terms of Use, the Terms of Use will prevail.
